If your your first hotel is not available, you will be assigned your next available choice. Hotels will be assigned in the order in which registration forms are received, and so early registration is advisable.

DEPOSIT

To guarantee your room reservation, a deposit of Dfl. 220 (including Dfl. 20 banking costs) per room or a credit card guarantee is required. After receiving your hotel reservation form, Utrecht Hotel Service (UHS) will send you a provisional comfirmation. Upon receipt of this provisional confirmation, you then forward your deposit. UHS will confirm the receipt of your deposit and reservation. Without this definite confirmation there will be no valid room reservation in your name. Please note that it can take a few weeks before you will receive a confirmation of your hotel reservation.

The deposit - in Dutch guilders - can be paid as follows:

  1. Bank remmittance of Dfl. 220 (per room) to Rabobank Utrecht, account no. 39.45.41.707 in the name of VVV Utrecht stating your name, address and your reference.
  2. (Euro)cheque of Dfl. 220 (per room) made payable to VVV – Utrecht Hotel Service (UHS), stating your name, address and our reference. Please write your card number on the cheque. We cannot accept personal cheques.
  3. Credit card guarantee. Only cancellation costs and costs of no show will be charged at your credit card. In case of no show the hotel will be authorized to charge your credit card for max. Dfl. 220 (per room).

Please notice

In order to guarantee reservations for Hotel Vianen, full payment in advance is required. In case of credit card guarantees, Utrecht Hotel Service will charge your credit card four weeks before your arrival. Reservationfee is included.

CANCELLATION

Cancellation of your hotel reservation cannot be made by telephone, only in writing. In the event of cancellation within 60 days of arrival, VVV (UHS) can charge you a deposit of Dfl. 220 per room. In the event of earlier cancellation, cancellation costs of Dfl. 50 per room will be charges (excluding banking costs). The date of receipt of your cancellationletter will be the date of cancellation.
